Contact us for more informationDoes Mailtiv process or store email content?
No. Email content is not transferred to external systems; your emails are not read, recorded or stored. Operations run through Microsoft API permissions.
Which platforms does it work on?
Outlook for Windows (new and classic), Mac, the web, iPhone and Android, with Microsoft 365 / Exchange Online. On phones, signatures are added to emails but not to meeting invites. One-time-purchase Outlook 2016 and 2019 are not supported.
Does it need installation?
No server install. A Global Admin approves Mailtiv once in Microsoft 365, then deploys the Outlook add-in from the Microsoft 365 admin center. It can take up to 24 hours to appear in everyone’s Outlook.
Is our company data safe?
Mailtiv runs on Microsoft Azure in Europe (North Europe). It uses only Microsoft 365 profile fields such as name, title, phone and photo to fill signatures; email content never leaves Outlook. An admin can delete all company data from Settings in the portal.
Can we customize the design to our brand?
Yes. Horizontal and vertical layouts, light and dark themes, and corporate colors and typography are supported, and you can add marketing areas. You can also upload your own HTML signature design to Mailtiv and start using it right away.
Are short signatures supported?
Yes. Mailtiv supports up to 5 short signatures for different scenarios. For example, a separate signature for internal email keeps your messages smaller, and the short signature option keeps the amount of data moving inside your organization to a minimum.
Can we set signatures by department?
Yes. You can design signatures for specific departments. Your marketing or sales team can promote your offers in their emails, and during campaigns you can change signatures by department and manage them centrally.
Can users belong to more than one signature group?
The Mailtiv management panel is configured so that each user sits in only one signature group. This prevents rule conflicts and keeps management under control.
Does setup need an extra connector?
No. Mailtiv goes live with a connector-free setup, which keeps installation and management simpler for IT teams.
Can Mailtiv add signatures to meeting invites too?
Yes. Mailtiv supports signatures in meeting invites as well as emails, for a more consistent communication standard across the organization.
